Terms of Service

The terms for organisations and authorised users using the Cross sponsor-compliance platform.

Agreement and eligibility

These Terms govern use of the Cross platform by the organisation named in the workspace and its authorised users. “Cross”, “we”, and “us” mean the Cross contracting entity identified on the organisation’s order, invoice, or account record.

The person accepting these Terms confirms that they are at least 18 years old and authorised to bind the organisation. If that authority is absent, the person must not accept these Terms or activate a paid plan.

The Cross service

Cross provides software for organising sponsor-licence compliance information, sponsored-worker records, Right to Work evidence, attendance records, reminders, and change-notification workflows.

Basic plans provide the software for self-managed use. Managed provides the Basic features plus access to an assigned eligible advisor for review and structured responses while the Managed entitlement and advisor assignment are active.

Cross is not the Sponsor Management System and does not automatically submit information to the Home Office. Unless a separate written engagement explicitly says otherwise, the service does not include government filing, guaranteed legal outcomes, or a fixed response time.

Accounts and authorised users

The organisation must provide accurate account information, protect login credentials, maintain appropriate access roles, and promptly remove users who should no longer have access.

Owners and Admins can make material workspace and billing changes. The organisation is responsible for actions taken through its accounts unless caused by Cross failing to apply reasonable security controls.

Company and worker data

The organisation retains responsibility for the lawfulness, accuracy, and quality of information it enters or uploads. It must have an appropriate basis for providing personal data about employees, candidates, officers, contacts, and other individuals.

The organisation grants Cross the limited rights needed to host, secure, process, back up, display, and transmit that data for operating the service, meeting legal obligations, preventing abuse, and supporting authorised users.

Acceptable use

Users must not misuse the service. In particular, users must not:

  • access a company, worker, document, or advisor workspace without permission;
  • upload malicious, unlawful, misleading, or infringing material;
  • circumvent access controls, rate limits, billing, or security measures;
  • probe or disrupt the platform except under a written security-testing agreement; or
  • use Cross to make automated decisions that unlawfully discriminate against individuals.

Plans, billing, and changes

Plan prices and billing periods are shown before Checkout. Payments are processed by Stripe. The organisation authorises recurring charges for the selected plan until cancellation or replacement takes effect.

Paid upgrades and monthly-to-annual changes may take effect immediately after successful payment, including any displayed proration. Downgrades and annual-to-monthly changes normally take effect at the end of the current paid period. Cancellation remains effective through the paid period.

If payment becomes past due, Cross may provide a seven-day grace period from first observation. After that period, the workspace may become read-only until payment recovers. Previously paid records may remain available for reading and export as described in the service.

Availability and changes to the service

We aim to keep Cross available and secure, but the service may be interrupted for maintenance, provider failure, security response, or events outside reasonable control. We may change features where necessary for security, law, provider contracts, or product development, while avoiding material reduction of a paid service without reasonable notice where practicable.

Intellectual property

Cross and its licensors own the platform, software, visual design, documentation, and related intellectual property. The organisation receives a limited, non-exclusive, non-transferable right for authorised users to use the service during the applicable entitlement. Customer data remains owned by the organisation or the relevant rights holder.

Suspension and termination

We may restrict or suspend access where reasonably necessary to protect users, data, the platform, or third parties; respond to unlawful use; or address unpaid charges. Either party may terminate as allowed by the selected plan or a separate written agreement. Provisions that should reasonably survive—including payment, confidentiality, intellectual property, liability, and audit records—continue after termination.

Responsibility and liability

The organisation remains responsible for sponsor compliance decisions, statutory deadlines, employment decisions, and government submissions. Cross outputs, reminders, and advisor responses must be reviewed by an appropriately authorised person.

Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability for fraud or fraudulent misrepresentation, or death or personal injury caused by negligence. Subject to that rule, the detailed liability allocation in any signed order or service agreement takes priority over these online Terms.

General terms

We may update these Terms and will identify the current version on this page. A new version is required at initial Checkout, reactivation, or plan change; ordinary portal access is not blocked solely because a policy was updated.

These Terms and any applicable order form are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction unless mandatory law requires otherwise. Questions may be raised through the support channel shown in Cross.
